NGO Field Trip : Terms and Conditions

1) Qualification

1.1) The field trip program is only available for Hong Kong recognized tax-exempt Section 88 charitable institutions and non-profit organizations*.

* Registered charitable organizations and registered non-profit-making organizations must provide copies of supporting documents to identify the charitable nature or non-profit-making nature of the organization. We accept any of the following documents:

(i) A letter issued by the Inland Revenue Department under Section 88 of the Inland Revenue Ordinance;

(ii) A list of Approved Charitable Institutions and Trusts of a Public Character published in the Government Gazette with the organization’s name on it;

(iii) A letter issued by the Social Welfare Department

An application will not be accepted if the organization fails to provide at least one of documents (i) to (iii) listed above.

2) Program Fees

2.1) Participants of the program must purchase tickets to gain entry.

2.2) Each participant (including children and organization staff) will be charged according to the price chart listed on the application form.

2.3) Complimentary adult tickets will be provided to organization staff which will be responsible to lead and supervise the program visit. Number of complimentary tickets will be allocated according to the number of child participants listed on the application form. The final number of complimentary adult tickets granted is at HKCDM’s sole discretion.

3) Adult Supervision Requirements

3.1) Adult supervision is required for all field trip programs and must meet the following requirements:

3.2) Adults must be 18 years old or above and should be staff or volunteers of the organization.

3.3) If your group has 20 children or less, there must be at least 2 adult staffs supervising.

3.4) If your group has 20 children or more, groups should follow the adult-child ratio listed on the application form.

3.5) Disabled students: a minimum of 1 adult staff supervising 2 children

3.6) Adult-child Field Trip Program

3.6.1) Parent participants are responsible to supervise their children.

3.6.2) Parent participants can accompany a maximum of two children or one child and one infant at a time.

3.7) If either of the above requirements are not met on the day of the visit, HKCDM has the right to deny entry to the entire group with no refunds or can rescheduling be possible.

4) Application & Payment Policy

4.1) To apply, organization must submit a completed application form to HKCDM by email.

4.2) Organization must confirm the total number of participants five (5) weeks before the visit date.

4.3) Organization must settle the payment within seven (7) business day once the number of participants are confirmed.

4.4) Tickets can only be used on the date of validation. No refund or rescheduling will be made after payment confirmation. (Please see Section 5 for arrangement of special cases, such as inclement weather and Covid-19).

4.5) Decrease in ticket quantity is not allowed once the payment is made. Any unused quota will be considered as forfeited with no refund.

4.6) Should organization wish to increase the number of participants, please inform HKCDM at least two (2) weeks prior to the visit date. Request will be accepted only if maximum capacity has not been reached.

4.7) If additional payment is required, a new invoice will be issued for additional participants and organization must settle payment within three (3) business days.

4.8) If the payment cannot be settled by the payment due date or if the application is not duly completed, Hong Kong Children’s Discovery Museum reserves the right to cancel the application or deny request.

5) Special Arrangement for Inclement Weather & COVID-19

5.1) In the occurrence of the following events, affected organizations are required to reschedule their visits to a new date within one month of the original date of visit:

5.1.1) Social Welfare Department announces arrangements of suspension of welfare services, or;

5.1.2) The venue is not suitable for any activity due to inclement weather.

5.1.3) Any groups with participants whose body temperature is higher than 37.5 degree Celsius (as indicated by the temperature detector used by HKCDM) or to those who show symptoms of respiratory infections or highly infection disease. HKCDM reserves the right to refuse entry of any groups with participants.

5.2) Should organizations be unable to make their rescheduling request within the above time, tickets will be deemed as forfeited with no refund.

6) The field trip is conducted in Cantonese or English. Any requests/ special needs should be indicated on the application form.

7.1) Participants must be punctual in arriving at the designated gathering location or the Museum 10 minutes before their time of visit. Latecomers will not be entertained, and the program cannot be extended beyond the scheduled time.

7.2) Visitors must leave the museum within the designated time of the reservation. If visitors leave the museum after their designated end time later than 10 minutes or more, a charge of HK$1,000 will be applied upon exiting. If visitors leave after their designated end time by 30 minutes or more, in addition to the $1000 charge, an additional charge of HK$100 per person shall be applied upon exiting for every 30 minutes. The museum reserves the right to refuse any booking or entry for those who have not paid their overtime fees.

8) All visitors can eat and drink on the ground floor. No food, alcoholic or other beverages, except water, are allowed on the 1/F. If necessary, please eat before visiting CDM.

8.2) School groups who wish to eat at the G/F will be required to inform us. A cleaning fee will be charged. Applicants should make the G/F booking at the same time of the submission of the Field Trip application.

8.3) Visitors must abide by the government's latest epidemic prevention policies and gathering restrictions for the maximum number of people who can eat at the same time. There should be a distance of at least 1.5 metres between each group.

9) Copyright, Photography and Filming

9.1) Photographs and videos may be taken by CDM staff during your visit. Admission to the museum signifies your permission and agreement for the museum to take and use photographs and videos of your organizations for educational and promotional purposes. Applicants must indicate on the application form and notify the museum staff before the field trip starts if they do not wish to be photographed or filmed.

9.2) CDM reserves the right to photograph, film, record or otherwise reproduce the image and/or sounds of any person who has agreed without payment to any person.

9.3) Commercial photography and filming are strictly prohibited except with the prior written permission of CDM.

9.4) For non-commerical photography and filming, please indicate your request on the application form for permission. Information may be published or reproduced for non-commercial purposes with the written permission from CDM, but the user must acknowledge the source of the information.

9.5) Unless authorized by CDM in advance, copying, adapting, distributing, or providing such information is strictly prohibited for non-commercial and commercial use.

10) Participants of the program are required to travel to the gathering location or the museum on their own.

11) Program content and exhibits may be subject to change without prior notice.

12) All participants must comply with HKCDM’s Terms and Conditions, and Disclaimer which are accessible on HKCDM’s website. Hong Kong Children’s Discovery Museum shall be under no liability or responsibility for any loss of any kind or any damage to any property of any person in the museum.

13) Hong Kong Children’s Discovery Museum reserves the right to change the Terms and Conditions at any time or make the final decision on application procedure and approval.

14) Any disputes connected in any way to the booking will be resolved by Hong Kong Children’s Discovery Museum Ltd. in its absolute discretion.

15) In case of any discrepancies between the English and Chinese versions of these terms and conditions, the English version shall prevail.
